About the Listservs

A listserv is an e-mail distribution list that people can subscribe to. When an e-mail is addressed to a listserv mailing list, it is automatically sent to everyone on the list. Only CCSU e-mail addresses can subscribe to the listservs. We have four listservs for the purpose of facilitating communication among faculty, staff, and students:

  1. students@listserv.ccsu.edu - for students to send messages to all students subscribed to this list.
  2. academicusers@listserv.ccsu.edu - to send messages to all faculty members subscribed.
  3. adminusers@listserv.ccsu.edu - to send messages to all other subscribed administrative staff.
  4. campusforum@listserv.ccsu.edu - to send messages to the above three groups at once.

How to Subscribe

  1. Open your CCSU e-mail account and create a new e-mail message.
  2. Click in the To field and type in the listserv address prefixed with "Join-" (for example, to join the faculty listserv, send a message addressed to
    Join-academicusers@listserv.ccsu.edu). Leave the subject field blank.
  3. Send the message. You will receive an e-mail confirmation verifying your subscription.

How to Unsubscribe

If you do not wish to receive messages sent to the listserv you are in, you have the ability to opt out of receiving those messages.

  1. Open your CCSU e-mail account and create a new e-mail message.
  2. Click in the To field and type in the listserv address prefixed with "Leave-" (for example, to leave the faculty listserv, send a message addressed to
    Leave-academicusers@listserv.ccsu.edu). Leave the subject field blank.
  3. Send the message. You will receive an e-mail confirming that you have unsubscribed from the specified listserv.

Posting a Message to a Listserv

When you send a message to the listserv, it is delivered to all subscribers of that listserv, however, you will not receive a copy of any messages you send. To send a message to a listserv, simply send an email message from your CCSU email account to the listserv you are a member of. Those addresses are: students@listserv.ccsu.edu, academicusers@listserv.ccsu.edu, adminusers@listserv.ccsu.edu and campusforum@listserv.ccsu.edu.

Using Rules to Move or Delete Listserv Messages

You can use rules in Outlook to automatically move or delete messages you receive from the listserv. Here are a few examples:

Set up a rule to move messages to a specific folder:

  1. Open Outlook, then click on the Tools menu, and select "Rules and Alerts".
  2. Click on New Rule to open the Rules Wizard.
  3. Under "Stay Organized," click on "Move messages from someone to a folder," then click on Next.
  4. Set up the conditions:
    1. Under Step 1, verify that "from people or distribution list" is checked.
    2. Under Step 2, click on the "people or distribution list" link, then locate the name of the listserv in the Address book (for example, to select the Academic listserv, locate AcademicUsers (ListServ)). Double-click the name of the listserv, then click on OK. Click on Next.
  5. Specify what you want to do with the message:
    1. Under Step 1, verify that "move it to the specified folder" is checked.
    2. Under Step 2, click on the "specified" link, then locate the folder in your folder list. Click on the name of the folder (or click on the New button and create a new folder), then click on OK. Click on Next.
  6. If there are any exceptions to the rule, select them in this step, then click on Next.
  7. At the "Finish rule setup" screen, enter a name for the rule and set up the rule options, then click on Finish.

Set up a rule to delete messages based on subject:

  1. Open Outlook, then click on the Tools menu, and select "Rules and Alerts".
  2. Click on New Rule to open the Rules Wizard.
  3. Under "Stay Organized," click on "Move messages from someone to a folder," then click on Next.
  4. Set up the conditions:
    1. Under Step 1, uncheck "from people or distribution list", then check "sent to people or distribution list" and "with specific words in the subject or body."
    2. Under Step 2, click on the "people or distribution list" link, then locate the name of the listserv in the Address book (for example, to select the Academic listserv, locate AcademicUsers (ListServ)). Double-click the name of the listserv, then click on OK.
    3. Click on the "specific words" link, type the word(s), click on Add (for example to block all messages with the word "event" in the subject, type event, then click on Add), then click on OK. Click on Next.
  5. Specify what you want to do with the message:
    1. Under Step 1, uncheck "move it to the specified folder" and check "delete it." Click on Next.
  6. If there are any exceptions to the rule, select them in this step, then click on Next.
  7. At the "Finish rule setup" screen, enter a name for the rule and set up the rule options, then click on Finish.

Set up a rule to delete messages based on sender:

  1. Open Outlook, then click on the Tools menu, and select "Rules and Alerts".
  2. Click on New Rule to open the Rules Wizard.
  3. Under "Stay Organized," click on "Move messages from someone to a folder," then click on Next.
  4. Set up the conditions:
    1. Under Step 1, uncheck "from people or distribution list" then check "sent to people or distribution list" and "with specific words in the message header."
    2. Under Step 2, click on the "people or distribution list" link, then locate the name of the listserv in the Address book (for example, to select the Academic listserv, locate AcademicUsers (ListServ)). Double-click the name of the listserv, then click on OK.
    3. Click on the "specific words" link and type:
      envelope-from=<Username@mail.ccsu.edu>
      Replace the Username part with that of the sender you want to filter. For example, to block all messages from John Doe, type:
      envelope-from=<Doej@mail.ccsu.edu>
      (Note that you must capitalize the first initial of the username and enter mail.ccsu.edu after the "@" symbol)
      Once you have entered the text, click on Add, and then on OK. Click on Next.
  5. Specify what you want to do with the message:
    1. Under Step 1, uncheck "move it to the specified folder" and check "delete it." Click on Next.
  6. If there are any exceptions to the rule, select them in this step, then click on Next.
  7. At the "Finish rule setup" screen, enter a name for the rule and set up the rule options, then click on Finish.

Digest Subscription

By choosing digest mode, you would receive only one email from the listserv you are subscribed to a day. A listserv digest takes all the messages sent to the listserv in a 24 hour period and compiles them into one message.

Turning Digest Mode On:

  1. Open your CCSU e-mail account and create a new e-mail message.
  2. Click in the To field and type in the listserv address for the listserv you wish to receive in digest form prefixed with "Digest-" (for example, to receive a digest of the faculty listserv, send a message addressed to
    Digest-academicusers@listserv.ccsu.edu). Leave the subject field blank.
  3. Send the message. You will receive an e-mail confirming the change in your subscription.

Turning Digest Mode Off:

  1. Open your CCSU e-mail account and create a new e-mail message.
  2. Click in the To field and type in the listserv address for the listserv you wish to change from digest form back to individual form prefixed with "Mail-" (for example, to cancel the digest form of the faculty listserv, send a message addressed to
    Mail-academicusers@listserv.ccsu.edu). Leave the subject field blank.
  3. Send the message. You will receive an e-mail confirming the change in your subscription.
